The storage space in Synology Drive Server is nearly full. What can I do?

Purpose

This article explains how you can free up storage space in Synology Drive Server when it is about to become full.

Resolution

Reduce the number of versioning or disable version control

Synology Drive Server keeps historical versions of the files for future restoration, and this takes up additional storage space. Change the number of versions to delete previous versions and free up space.

  1. Go to DSM > Synology Drive Admin Console > Team Folder.
  2. Select the desired folder and click Versioning.
  3. For Maximum Versions, change the value to a lower number. We recommend a number lower than 5.
  4. To automatically rotate out expired versions, tick Rotate version regularly and choose a desired period from the drop-down menu.
  5. If you do not have the need to restore files, untick Enable version control to disable it.

Clean up the recycle bin

  • Click Clean up at the following locations:
    • For Synology Drive 3.0: Go to DSM > Synology Drive Admin Console > Settings > General > Package Usage.
    • For Synology Drive 2.0: Go to DSM > Synology Drive Admin Console > Settings > Others > Database.

Delete or disable infrequently accessed files or folders1

If you have any files that are not frequently accessed, move them to a folder that is not enabled, delete them from enabled team folders, or disable the entire team folders altogether. To disable team folders, follow the below steps.2 3 4

  1. Go to DSM > Synology Drive Admin Console > Team Folder.
  2. Select the folders which are not frequently used and click Disable. Press and hold the Shift or Ctrl key to select multiple folders.

Moving shared folders to a volume with more storage space

If you have other volumes on your Synology NAS that have more storage space, you can move shared folders to those volumes to free up space on the original volume. If you want to move a shared folder that is currently a team folder in Synology Drive, follow these steps:

  1. Go to DSM > Synology Drive Admin Console > Team Folder.
  2. Select the desired folder and click Versioning.
  3. Untick Enable version control and click OK.5
  4. Go to DSM > Control Panel > Shared Folder, select the folder you want to move, and click Edit.
  5. From the Location drop-down menu, select the volume to which you want to move the folder, and click Save.

The length of time this process takes may vary, depending on the size of the folder. After the move is completed, you can go back to Synology Drive Admin Console > Team Folder and set up version control for the folder again.

Uninstall Synology Drive Server

Historical versions are saved in the Synology Drive Server database. If you no longer need to use Synology Drive Server, you can uninstall the package to free up space. Once the database is deleted, historical versions cannot be restored. Make sure the data on Synology Drive Server is no longer needed before uninstalling the package.

  1. Go to Package Center > Synology Drive Server.
  2. Below the package name and status, locate a button with a drop-down menu. Click the downward arrow.
  3. Click Uninstall.
  4. Tick Delete the items listed above when uninstalling the package when the option appears on the screen.

Notes:

  1. Storage space might not be released immediately.
  2. User home service should be disabled first before disabling My Drive. To disable user home service, go to Control Panel > User & Group > Advanced > User Home.
  3. Disabling a team folder permanently deletes all historical versions of files in that folder from Synology Drive Server, but the files are not affected in your Synology NAS. Any sync task set up for this folder will be interrupted and you need to set up a new sync task to an enabled folder on Synology Drive Server.
  4. If you disable a team folder and enable it again, Synology Drive Client users have to set up a new sync task. The desktop application then re-scans the folder list between the local computer and Synology NAS. If no differences are found, no syncing will be performed again.
  5. By the design of the Synology Drive application, extra storage space will be taken up if you do not disable version control before you move the shared folder. If you have already finished moving the shared folder without first disabling version control, simply disable version control and then enable it again to fix the extra storage consumption issue.
