Managing Note Station

This section explains the management capabilities of Note Station:

Organizing Notes

Deleted notes are moved to Recycle Bin and remain there until you empty Recycle Bin. Emptying Recycle Bin will permanently delete notes from Note Station. While notes are still in Recycle Bin, you can restore them to the notebook they were deleted from. The exception to this is when the deleted note is part of a deleted notebook. When a whole notebook is deleted, restored notes will be moved to My Notebook. Deleting notebooks cannot be undone. You will have to recreate the notebook.

To delete a notebook:

  • Method 1
    1. On the menu panel, right-click the notebook you want to delete.
    2. Click Delete.
    3. A confirmation prompt will appear. Click OK to continue deleting the notebook.
  • Method 2
    1. Click on Notebooks on the menu panel.
    2. On the browser panel, right-click a notebook you want to delete.
    3. Click Delete.
    4. A confirmation prompt will appear. Click OK to continue deleting the notebook.

To delete a note:

  • Method 1
    1. On the menu panel, click on a notebook containing the note you want to delete.
    2. On the browser panel, right-click the note you want to delete.
    3. Click Delete.
    4. A confirmation prompt will appear. Click OK to continue deleting the note.
  • Method 2
    1. Drag and drop a note from the browser panel to Recycle Bin on the menu panel.
    2. A confirmation prompt will appear. Click OK to continue deleting the note.
  • Method 3
    1. Open a note you want to delete.
    2. On the note panel, click Extra icon in the upper-right corner and select Delete from the drop-down menu.
    3. A confirmation prompt will appear. Click OK to continue deleting the note.

To restore a deleted note:

  1. On the menu panel, click on Recycle Bin.
  2. Right-click the note you want to restore and select Restore.

Managing Tags

All tags appear under Tags on the menu panel. When a tag is not applied to any note, it will be automatically deleted from Note Station. Renaming a tag will update all notes with the related tag. Moreover, tags can be arranged into a nesting structure to help you organize and reach all related notes.

To remove a tag from all notes:

  1. On the menu panel, right-click a tag you want to remove.
  2. Click Remove tag from all notes.

To rename a tag:

  1. On the menu panel, right-click a tag you want to rename.
  2. Click Rename.

To manage the nesting structure for note tags:

  • To nest a tag under another tag: Drag and drop an existing tag below a desired parent tag on the menu panel.
  • To collapse/expand nested tags: Double click the parent tag on the menu panel.

To sort notes by tag:

  1. Go to the menu panel and click on the desired tag. All the notes with that tag will appear on the browser panel.
  2. Click Sort by and choose the way you want to display your notes.
  3. If the selected tag has any sub-tag, select Notes with sub-tags to include notes with such tags.

Copying Notes

When copying notes, Note Station will create a new note and copy the contents of the original note. The new note title is the same as the original but with "Duplicate" added to the end. After copying, both notes are treated as separate and have different version histories, i.e., changes you make to either note will not affect the other note. The duplicate note will be created in the same notebook as the original note. Duplicate notes can be renamed just like normal notes. You can also copy joined notes.

To copy a note:

  1. On the menu panel, click the notebook that contains the note you want to copy.
  2. On the browser panel, right-click the note you want to copy.
  3. Click Copy.

Managing Note Versions

While you are working on your note, Note Station automatically saves a version of your note every ten minutes and when Note Station is idle for ten seconds. In addition, Note Station will also save a version when you leave the note. The complete version history for each note is saved, including note content, title, note information, and even attachments. The version history shows each saved version and can be sorted using:

  • Modified Time: Note Station records the time when a new version of a note is saved.
  • Username: Note Station records the user that initiated a new version of the note to be saved.
  • Device: Note Station records which device initiated a new version of the note to be saved.

Each row listed in version history is a saved version of the note. In addition, each saved version can be previewed as well as copied to a new note. Finally, you can restore any saved version of a note.

To restore any version of a note:

  1. Open a note.
  2. On the note panel, click Info in the upper-right corner.
  3. Click View History.
  4. Click on any row to preview the selected note version. A preview of the note will appear.
  5. Navigate between versions by clicking the left and right arrows in the upper-right corner.
  6. Once you have found the version you want to restore, click Restore.

To copy any version of a note to a new note:

  1. Open a note.
  2. On the note panel, click Info in the upper-right corner.
  3. Click View History.
  4. Click on any row to preview the selected note version. A preview of the note will appear.
  5. Navigate between versions by clicking the left and right arrows in the upper-right corner.
  6. Once you have found the version you want to copy, click Copy to a new note. The copy will appear in the same notebook as the original note.

Protecting Notes

You can add password-protection to notes you have created. This can be done when you create a new note as well as existing notes. When adding encryption to an unencrypted note, Note Station will create a new note and copy the contents of the original note. The new note title is the same as the original but with "Encrypt" added to the end.

To create a new encrypted note:

  1. At the top of Note Station, click Create > Create Encrypted Note.
  2. In Notebook, select which notebook to create your new encrypted note in.
  3. Enter a password in Password.
  4. Reenter your password in Confirm password. New notes are named Untitled by default.

To add encryption to an existing note:

  • Method 1
    1. Open a note.
    2. In the upper-right corner of the note panel, click Encrypt.
    3. Enter a password in Password.
    4. Reenter your password in Confirm password.
  • Method 2
    1. Open the notebook containing the note you want to encrypt.
    2. On the browser panel, right-click the note you want to encrypt.
    3. Click Encrypt.
    4. Enter a password in Password.
    5. Reenter your password in Confirm password.

To change the password of an encrypted note:

  • Method 1
    1. Open the encrypted note of which you want to change the password.
    2. In the upper-right corner of the note panel, click Encrypt.
    3. Click Change password.
    4. Enter a new password in Password.
    5. Reenter your new password in Confirm password.
    6. Click OK.
  • Method 2
    1. Open the notebook containing the encrypted note of which you want to change the password.
    2. On the browser panel, right-click the encrypted note.
    3. Click Encrypt.
    4. Click Change password.
    5. Enter a new password in Password.
    6. Reenter your new password in Confirm password.
    7. Click OK.

To copy an encrypted note to an unencrypted note:

  • Method 1
    1. Open the encrypted note you want to copy.
    2. In the upper-right corner of the note panel, click Encrypt.
    3. Click Copy to an unencrypted note.
    4. Enter the password in Password.
    5. Click OK.
  • Method 2
    1. Open the notebook containing the encrypted note you want to copy.
    2. On the browser panel, right-click the note you want to copy.
    3. Click Encrypt.
    4. Click Copy to an unencrypted note.
    5. Enter a password in Password.
    6. Click OK.

Note:

  • Deleting any item to Recycle Bin will remove it from Favorites at the same time.
  • Notebooks and tags cannot be copied.
  • Notebooks cannot be encrypted.
  • Once a note has been encrypted, it cannot be decrypted. You can click Copy to an unencrypted note to create a copy with no encryption.

Searching Notes

There are two methods for searching: basic and advanced. A basic search will look in All Notes, matching keywords in note title, content, and attachment name. An advanced search includes more options for search criteria such as date range, tag, and notebook. The results of both searches will be shown on the browser panel.

In the upper-left corner is a search bar where you can enter keywords. To perform an advanced search click on the magnifying glass. The advanced search box will appear where you can specify more search criteria.

Note:

  • When you search with a keyword, only the note title, content, and attachment name that exactly match the keyword will come up as results. For example, if you enter app as your keyword, only app will appear in the search result, while apple will not.

Exporting Notes

You can export both single notes and whole notebooks for use outside of Note Station. Single notes can be exported as a compressed archive containing an HTML file and attachments. Multiple notebooks can be exported together as a single nsx file. Exported notebooks can be used for backup or for importing to another Synology NAS.

To export a single note:

  1. On the browser panel, right-click the note you want to export.
  2. Click Export. A compressed archive of the note will be generated for download.

To export notebooks:

  1. At the top of Note Station, click Settings.
  2. Under Import and Export, click Export to launch the export wizard.
  3. Follow the wizard instructions to export your notebooks.

Note:

Exported notebooks and single exported notes have no version history.

To export notebooks from Synology Note Station (Google Chrome App):

  1. Click the cogwheel icon (the Settings button) on the right of the toolbar.
  2. Click Import and Export > Export, and select an export destination.
  3. Click Next and select notebooks to export.
  4. Click Apply.
  5. Go to the destination folder to find the exported nsx file.

Note:

If a notebook to export contains encrypted notes, such notes have to be decrypted first for successful export. Otherwise, such notes will not be exported.

Importing Notebooks

You can import notebooks from Evernote and from a Note Station nsx file. When importing from Evernote, you will need to authorize Note Station to access your Evernote account. Importing from a Note Station nsx file doubles as a restore option, since imported notebooks and notes will retain their content and properties at the time of export (e.g., titles, tags, content, attachments, etc).

To import notebooks from Evernote:

  1. At the top of Note Station, click Settings.
  2. Under Import and Export, click Import from Evernote to launch the import wizard.
  3. Follow the wizard instructions to import your Evernote notebooks.

Note:

  • When importing Evernote notebooks that contain many notes, your import task may stall. This is due to Evernote implementing a rate limit that restricts the amount of third-party activity in a given hour. Note Station will automatically continue importing the rest of your notes once the rate limit is reset (typically between 30-60 minutes).
  • Evernote stacks can be imported into Note Station as shelves. Each imported stack's note hierarchy will be preserved.

To import notebooks from an Evernote .enex file:

  1. At the top of Note Station, click Settings.
  2. Under Import and Export, click Import under Import notebooks from an Evernote .enex file to launch the import wizard.
  3. Click either From my Synology NAS or Upload from my computer.
  4. Choose an nsx file and click Select.
  5. Click OK to finish.

To import notebooks from a Note Station nsx file:

  1. At the top of Note Station, click Settings.
  2. Under Import and Export, click Import under Import notebooks from a Note Station nsx file to launch the import wizard.
  3. Click either From my Synology NAS or Upload from my computer.
  4. Choose an nsx file and click Select.
  5. Click OK to finish.

To import nsx files to Synology Note Station (Google Chrome App):

  1. Click the cogwheel icon (the Settings button) on the right of the toolbar.
  2. Click Import and Export > Import > Upload from my computer.
  3. Select one nsx file from your local computer.
  4. Click OK.
  5. The imported notebook will appear on the left panel of Synology Note Station.

Archiving Notebooks

To keep Note Station from getting cluttered with notes, you can archive seldom-used notebooks. Archiving notebooks will also improve search time.

To archive a notebook:

  1. On the menu panel, right-click a notebook you want to archive and select Archive.
  2. A confirmation prompt appears. Click OK to archive the notebook.

To unarchive a notebook:

  1. On the menu panel, right-click an archived notebook you want to unarchive and select Unarchive.

Note:

  • Only notebooks can be archived. A single note cannot be archived.
  • Archived notebooks have limited functionality. They cannot be added to Favorites, shared, set as the default notebook, or added to a shelf.
  • The properties of notes within an archived notebook cannot be modified.
  • Search results will only display archived notes when an advanced search is used and the archived notebook is selected as a search criterion.
