Kajima Malaysia Achieves Seamless Collaboration and Data Security with Synology

Kajima Malaysia's civil engineers, architects, project managers, and designers work together on-site and remotely. They collaborate on projects using AutoCAD and other advanced design tools. To be effective, staff need their project data to be accessible and secure at all times.

As Kajima Malaysia's business grew, the difficulties stemming from decentralized and siloed data also grew. Previously, project data was stored on standalone file servers at individual locations. These were neither integrated from site to site nor did they provide a cohesive access system for daily workflows. As such, cross-site work was cumbersome and inefficient, backups were not centralized, and it was neither easy nor efficient to coordinate data with their central office.

Kajima Malaysia concluded it was necessary to upgrade to a centralized data management solution with enhanced security. They were seeking data management tools that could scale and would improve workflows, empowering remote teams to work together. And they wanted an improved system for data backups and recovery that offered simplicity, superior protection against unauthorized access, and reliable restoration in case of disaster.

Kajima Malaysia solved their scattered data issues by upgrading to an integrated solution from Synology. The firm selected a Plus Series rackmount server with redundant power for their central office, and one 2-bay Plus Series desktop system for each of their five construction site offices, for a total of five compact tower devices and 40 TB of storage across their deployment. The Synology solutions provide streamlined, centralized access to data throughout the company while enabling a number of enhanced security and business continuity features.

With their Synology devices, Kajima Malaysia has reigned in their siloed and scattered data, especially as it relates to backups.

Remote offices back up local workstations to their DS720+ devices, and they use Snapshot Replication with off-site storage for added protection. Snapshot Replication helps on-site staff create secure, near-instantaneous offsite snapshots, all of which are stored on their central office's RS1221RP+. This gives them the ability to restore their devices quickly and reliably, should the need arise. Snapshots are automatically created and uploaded to the central office every four hours, requiring no human intervention beyond the initial setup.

Kajima Malaysia uses Synology C2 Storage as a cloud destination for their off-site backups from the central office and their remote construction site offices. C2 Storage offers reliable backup storage for Synology Hyper Backup, enabling automated, complete cloud backups.

Each construction site office backs up project data daily to C2 Storage. The central office also backs up their own data — stored snapshots, office data, and more — daily to a separate C2 account. With this method of backup management, Kajima Malaysia keeps the entirety of their company's data safe from destruction, protected against unauthorized access, and centrally accessible for improved management and daily use.
